1. Introduction and Scope
AHOD ("Company," "we," "us," or "our") operates the AHOD AI brand monitoring platform at ahod.co. This Privacy Policy describes how we collect, use, store, disclose, and protect information in connection with your use of our platform and website.
This policy applies to all AHOD users including free account holders, paid subscribers, enterprise customers, and visitors to our website who use the free Instant Scan feature. By using AHOD, you consent to the practices described in this policy.
Last Updated: April 2026. We will notify registered users of material changes to this policy by email at least 14 days before changes take effect.
2. Information We Collect
We collect information in three categories:
Account Information: When you register for AHOD, we collect your email address, full name (optional), and any profile information you choose to provide. For paid plans, billing information is processed by our payment provider (PayPal or Stripe) — we do not store full card numbers or payment credentials on our servers.
Brand & Configuration Data: When you add brands to monitor, we store the brand name, website URL, industry category, competitor names, custom prompt configurations, alert preferences, and monitoring settings you provide. This is the core operational data required to deliver the AHOD service.
Usage Data: We collect standard web analytics including pages visited, features used, scan frequency, and approximate geographic location (country/region level) for the purpose of improving the platform. We use privacy-respecting analytics and do not build individual behavioral profiles for advertising.
Instant Scan (No Account): If you use the free Instant Scan on our homepage without creating an account, we collect only the domain name you entered and the scan timestamp. This data is retained for 30 days for abuse prevention purposes and then deleted.
3. How We Use Your Information
We use your information exclusively to operate, maintain, and improve the AHOD service. Specifically:
Service Delivery: Running LLM queries, generating AI visibility reports, sending alert notifications, and maintaining your dashboard data.
Communication: Sending transactional emails (scan completions, alerts, billing confirmations) and, with your consent, product update emails. You can unsubscribe from marketing communications at any time.
Security & Abuse Prevention: Detecting and preventing fraudulent activity, rate limiting, and protecting the integrity of our service.
Product Improvement: Aggregated, anonymized usage patterns help us understand which features are valuable and where to invest in improvements.
We do NOT use your data for: advertising or ad targeting, building behavioral profiles for sale, training our own AI models using your brand data or competitor configurations, or sharing with third-party data brokers.
4. Data Sharing and Disclosure
We do not sell, rent, or trade your personal information or brand data to any third parties. We share data only in the following limited circumstances:
Service Providers: We use a small number of trusted infrastructure providers (cloud hosting, email delivery, payment processing) who access your data solely to provide services to us. All such providers are bound by data processing agreements with strict confidentiality and security requirements.
Legal Compliance: We may disclose information if required by applicable law, court order, or governmental authority — and will notify affected users where legally permissible.
Business Transfers: In the event of a merger, acquisition, or asset sale, user data may be transferred as part of that transaction. We will provide advance notice and, where required, obtain consent.
Aggregated Analytics: We may publish aggregated, non-identifiable industry trend data (e.g., "brands in the SaaS category average an AI visibility score of 42") that cannot be traced to individual users or brands.
5. Data Security
We implement industry-standard security measures to protect your information:
Encryption: All data is encrypted in transit using TLS 1.3 and encrypted at rest using AES-256. API communications between AHOD and third-party LLM providers use encrypted channels.
Infrastructure: We operate on SOC 2 Type II compliant cloud infrastructure with strict network access controls, automated threat monitoring, and regular security audits.
Access Controls: Access to customer data by AHOD personnel is role-based, audited, and limited to operational necessity. We use the principle of least privilege throughout our internal systems.
Penetration Testing: We conduct annual third-party penetration testing and promptly remediate any identified vulnerabilities.
While we implement strong security measures, no system is perfectly secure. We encourage users to use strong passwords and to notify us immediately at info@ahod.co if they suspect unauthorized access.
6. Your Rights and Choices
As an AHOD user, you have the following rights regarding your personal data:
Access: Request a copy of all personal data we hold about you.
Correction: Request correction of inaccurate or incomplete data.
Deletion: Request deletion of your account and all associated data. Upon deletion request, we will remove your personal data within 30 days, except where we are legally required to retain it (e.g., billing records for tax purposes, which are retained for 7 years per applicable law).
Portability: Request an export of your data in a machine-readable format (JSON or CSV).
Objection: Object to specific processing activities, including direct marketing.
Restriction: Request that we restrict processing of your data in certain circumstances.
GDPR Rights (EU/EEA Users): All of the above rights apply under GDPR. Our legal basis for processing is performance of a contract (service delivery), legitimate interest (security, abuse prevention), and consent (marketing communications).

8. Data Retention
We retain different categories of data for different periods:
Account and brand data: Retained for the duration of your subscription plus 90 days. After account deletion, personal data is removed within 30 days.
Scan history: Retained according to your plan (30 days on Solo, 60 days on Starter, 90 days on Professional, unlimited on Agency and Enterprise). Historical data beyond retention limits is permanently deleted.
Billing records: Retained for 7 years as required by applicable tax and accounting law.
Instant Scan data (no account): Domain and scan timestamp retained for 30 days for abuse prevention, then permanently deleted.
Anonymized aggregate data may be retained indefinitely for product research purposes.
